A Business Multi‑User plan is one of three plans available within the Allianz Business Travel Insurance policy, which is an annual business travel plan issued in the company’s name, not in the names of individual travellers.

It is designed for organisations with multiple employees travelling internationally for work throughout the year.

Employees draw from a pool of pre‑purchased employee estimated travel days. Each trip must be declared before their departure via a user-friendly weblink.

Some pre-existing medical conditions are covered automatically. Cover for conditions which are not automatically covered may be available following application to and acceptance by our Customer Care Medical Assessments Team.

Employees with an employment contract with the business and their Close Relatives if they are travelling with the employee 100% of the time.  The Close Relative(s) must pay an additional premium to have cover under this policy.  

A Close Relative is defined in the Policy Wording as:

Your spouse, de facto partner, civil union partner, fiancé(e), parent, parent-in-law, step parent, child, step child, foster child, son and daughter-in-law, sibling, brother and sister-in-law, half or step brother or sister, grandparent, or grandchild.

The employer purchases an estimated number of employee travel days for the policy year.

Approved business travel days are deducted from the pool of pre-purchased travel days.

Example:

  • Two employees travel for 5 days each, this equates to 10 employee days used.
  • If they exceed the purchased days, an additional premium is charged at the end of the policy year for the additional travel days.
  • If they use fewer days, unused days above the 75‑day minimum are refunded in full.

Business Multi-User has two region options:

a)      Australia & South Pacific
b)     Worldwide

Once a Business Multi-User plan is issued for a region, it cannot be upgraded mid‑term.

If an employee needs to travel outside the selected region, a new single duration policy must be purchased prior to departure for the entire trip.

A pre-existing medical condition means:

a)      any physical defect, infirmity, existing or recurring illness, Injury, disability or Mental Illness of which You, or the person due to whom You are            claiming, are aware of; or

b)     any medical condition for which You, or the person due to whom You are claiming have had or received a medical examination,                  consultation, treatment, investigation and/or medication in the 12 months prior to the date Your policy is issued.

It is important to understand that pre-existing medical conditions may not be covered under the policy.  Certain pre-existing medical conditions are covered automatically within a certain criteria for travellers who are insured under the Allianz Business Travel Insurance Policy Wording.  

Cover for conditions outside of those detailed in the pre-existing medical conditions section within the policy wording, may be available following a medical assessment by our Customer Care Medical Assessments Team.

Please note that an additional premium will be payable if cover for a pre-existing medical condition is approved.

Any medical premium is paid directly to Allianz Partners via credit card or bank transfer.

If the employee would like their place of employment to pay for their pre-existing medical condition cover, they can either send them the quote so the employer can pay via bank transfer on the employees’ behalf, or the employee can pay and then request a reimbursement though their work. 

The additional premium payable for pre-existing medical cover must be paid in full within 14 days of the assessment, or prior to their departure, whichever date comes first. 

Each employee must declare their trip prior to departure via the Business Multi-User declaration process.  This is a user-friendly weblink is provided to the employer at the commencement of each annual policy period.

Once the employee has declared their trip via the weblink declaration, they will be issued a Certificate of Insurance which will have their own individual policy number.  This policy number will need to be referenced if they need to make a claim at a later date via the Online Claims Portal. 

One month before the policy end date, the broker/employer submits an Annual Declaration listing of all the trips taken per employee, within the annual policy period.

All employee travel days are reconciled, and:

Excess days above the initial estimation are charged

Or

Unused days above 75 days are refunded.

We determine how many days were used, then we either send an invoice for the excess days, or we provide a partial refund.

A single call will put you directly in touch with a doctor or travel specialist who will be able to assist you and confirm your cover.  You will be advised of any steps you will need to follow in successfully claiming under your policy.

Travellers may take up to 30 leisure days per trip.

Leisure days are only days where the employee has explicitly taken leave from work. Weekend or rostered days off while working are not counted as leisure days.

Like business travel days, any leisure travel days forming part of a declared business trip must also be declared prior to departure via the same weblink declaration process. Any additional premium payable for the leisure travel component of cover must be paid in full prior to the employee's departure.

There must be no gap in cover.

Cover ends on the travel end date shown on the employee's Certificate of Insurance. If an employee requires cover beyond the travel dates originally declared through the weblink, additional cover must be arranged before the current cover expires, unless the circumstances qualify for an Automatic Extension of Cover as detailed in the Policy Wording.

  • If the business trip has not yet commenced, providing that the employee does not have any covered pre-existing medical conditions OR additional cover for a specified item, the employee can declare the additional travel days through the weblink declaration process.

    A new Certificate of Insurance will be issued for the additional travel period. Please note that the employee will retain their original Certificate of Insurance and will receive a second Certificate of Insurance covering the additional travel dates. 

    If the employee has cover for a pre-existing medical condition(s) OR has additional cover for a specified item(s), please call our Customer Care Team on +64 9 486 0048, Monday to Friday, 8:30am to 5:00pm NZST, prior to their trip departure.
  • If the business trip has already commenced and the employee is overseas, they will need to apply for an extension of cover in accordance with the Extending Your Cover in Other Circumstances section of the Policy Wording. To do this, the employee must contact our Customer Care Team on +64 9 486 0048, Monday to Friday, 8:30am to 5:00pm NZST.

    If the extension application is accepted, a new policy and Certificate of Insurance will be issued once the additional premium has been paid in full. If additional cover is not arranged and any applicable premium is not paid before the existing cover expires, the employee will have no cover beyond the expiry date shown on their original Certificate of Insurance.

If the employee is already overseas and would like their place of employment to pay for the additional premium for cover on the additional travel period, the employee will need to pay and then request reimbursement though their work.  

Business Multi-User claims can be submitted via our Online Claims portal www.claimmanager.co.nz

When the employee declares their trip prior to departure via the user-friendly weblink, a Certificate of Insurance is issued to them via email, detailing their own individual policy number.  This policy number will need to be referenced when submitting a claim.

To help streamline the claims process, we have a Claims Document Checklist to help ascertain the relevant documents to support their claim.  The checklist provides general guidance by providing a variety of different claim scenarios with documentation suggestions.  If there is applicable documentation not listed within which you believe to be relevant to the claim, please provide this also. 

Claims may be verified by contacting the broker or employer to confirm the traveller’s employment and trip details.

Platinum has higher benefit limits and includes two additional benefits:

Kidnap & Ransom cover and Political Evacuation cover

Gold excludes these and has lower benefit limits.

Yes, cover for travel up to 30 days is available for leisure only trips by the employee working for the business, (and their Close Relatives who have paid the premium required) providing the trip is declared on the weblink declaration prior to travel commencing.

No, Close Relatives are only covered when travelling 100% of the time together with the employee.  The Close Relative must be declared via the user-friendly weblink at the same time as the employee declares their business trip.  

No, each employee must declare their own trip prior to departure through the Business Multi-User weblink declaration process.

Once a trip has been declared, the employee will receive their own Certificate of Insurance and individual policy number. This policy number will need to be referenced if they need to make a claim.

If multiple employees are travelling on behalf of the same business, at the same time, each employee must complete their own weblink declaration and they will each receive their own Certificate of Insurance and policy number. 

Any excess that applies to a claimable event is outlined on the employee’s Certificate of Insurance.

The Allianz Business Travel Insurance policy does not determine whether the employer or employee is responsible for paying any applicable excess. Any arrangement regarding payment of the excess is a matter between the employer and employee.

We will deduct any applicable excess from the final claim settlement amount.

All claims are assessed in accordance with the terms, conditions, limits, sub-limits and exclusions, as detailed in the Policy Wording.
